The Committee plays a strong role in identifying, cultivating, and approaching major donors. The Committee asks for a minimum of one year commitment and expectation of fundraising $25,000 per individual per year. Responsibilities: ● Meetings will be held monthly and regular attendance is required of all members. ● The Committee will support Board Members in their fundraising efforts and help them leverage their network to financially support Housing Families. ● Actively engage in and solicit Board Members and volunteers to engage in all major development efforts, activities, and events. ● Support the Committee Chair and Board President in ensuring that all Board Members achieve their annual Give and Get. ● Support Housing Families’ CEO and Development Team in ensuring that the organization’s total development program is in concert with the organization’s strategic direction and needs. ● Support Housing Families’ CEO and Development Team in relationship building and stewardship of prospects, donors, and community partners. ● Develop long-term and annual fundraising plans that will generate the funds needed to meet the organization’s fundraising goal. ● In preparation for each FY budget, the committee will advise CEO and Finance Committee on the budget allocation for resources needed to carry out the annual fundraising efforts ● Establish subcommittees to carry out specific fund development activities and events as needed. ● Investigate new fundraising projects, activities, and ideas for possible use in the future. ● Supervise the functions of the sub-committees. ● Recruit new Committee members.

The Board of Advisors is a committee of the Board of Boston Harbor Now, created to: ● encourage and foster the mission of the organization as ambassadors of Boston Harbor Now; ● provide input, expertise, resources, and knowledge on the strategy, programs, and fundraising efforts of the organization; and ● supplement the background of the Board of Trustees with specific skills, networks, and experience needed by the organization to accomplish its goals. Its composition is intended to represent the diversity of interests we serve as well as the expertise needed to accomplish our priorities. While day-to-day operations are led by the chief executive officer (CEO), the Advisor-CEO relationship is a partnership, and the appropriate involvement of the Board of Advisors is both critical and expected. Responsibilities As an advisor, you are required to ● Attend at least two meetings a year of the Board of Advisors and at least one other event ● Act as ambassadors for the organization, increase communications to and from influential people in the communities Boston Harbor Now serves, and act as a sounding board on areas of focus to Boston Harbor Now management staff and Trustees. ● Participate in at least one board committee, task force, or fundraising committee ● Make a financial contribution to the organization of at least $1,000/year ● Introduce the organization to other potential supporters Membership and Terms of Service The Board of Advisors consists of up to thirty (30) Advisors. The Board of Trustees elects advisors. The Chair of the Board of Advisors is elected by the Board of Trustees from among the Advisors, and serves on the Board of Trustees as an Ex-Officio Board Member. There are 3 classes of Advisors, with staggered three-year terms so that approximately one third of the Advisors are elected each year. No Advisor may serve for more than two consecutive terms. During Board Meetings:

• Attend, be prepared, and participate fully in all Board of Director meetings. State ideas and positions in a respectful tone and manner. Use Robert's Rules of Order to make motions and vote on particular issues and plans of action. Keep all Board deliberations and decisions confidential; accept and support Board decisions. Parent Directors preface comments based on their perspectives as a parent with, “I am wearing my parent hat…”

Length of term: A Director will be elected for a three-year term. No Director will be elected for more than three (3) consecutive terms unless, at the discretion of the Board of Directors , an exception is granted. Terms commence on the first day of the calendar year, January 1. A Director’s failure to attend three (3) consecutive Board meetings without notice will be deemed a resignation effective on the date of the third missed meeting. Meetings and time commitment: The Board of Directors meets at least six times during the calendar year. Meetings occur virtually with one in-person retreat each calendar year. Regular meetings typically last 2 hours. Additional time spent includes participation in committee meetings.

In 1980 CAC received its first state child care license allowing for expanded services and reach. In 1999 CAC moved into a former Polaroid Warehouse building across the street from Newtowne Court. Programs today include the School Aged Child Care Program for youth aged 5-12, that provides interdisciplinary art lessons alongside essential child care for families. Teen Public Art and Teen Media Programs, provide creative development and help prepare young people for post-secondary opportunities. The Teen Media Program operates Do It Your Damn Self!! the nation’s longest-running youth-led film festival for teens ages 13-19. Youth programs are offered in a family like environment with transportation, mental and emotional supports, and up to three full meals a day. “Port Arise” and community programs are open to all ages, ensuring that families in crisis have their basic needs met. Now in its 86th year, CAC is still a grass-roots organization that serves the most historically marginalized residents of the Port-neighborhood in Cambridge.

The Board and Executive Director send an end-of-year annual appeal (fundraising letter) and organize a spring benefit to raise most of the funds from individuals, supported by several smaller, board-hosted or -staffed fundraising events. Several major donors support PMD through donor-advised funds. Investments are currently limited to a T-bill and money market fund needed for positive cash flow. PMD’s financial records, which are currently maintained in desktop QuickBooks, are based on bookkeeping by the Executive Director. PMD only owes taxes related to staffing, and this is handled by a payroll services company. The Treasurer should expect to contribute 20 to 30 hours each year. This will generally be concentrated around annual financial statement preparation, the annual filings, and any special projects that arise. We estimate 8-12 hours for the annual closings (ideally in January but can be in February) and filings (due May 15 but can be extended to November 15); and 1-2 hours to review and annotate the budget after the prior fiscal year has been closed. Basic board involvement requires attendance at quarterly board meetings (usually late January/early February, late April, and mid-November), sometimes a day-long retreat (summer), board conference calls/zoom meetings, annual benefit (May), annual appeal mailing (second or third weekend in November in Randolph). PMD is keenly aware that most professionals have certain times during the year that they are unavailable due to quarterly closings, audits, tax filings, etc. This has not generally posed an issue since meetings, fundraising events, calls, and remote work are scheduled according to board members’ availability.

Annual Commitment:

• A minimum of 5 board meetings each year – 4 held virtually (Zoom), and 1 in-person annually.
• Members are asked to participate in at least one committee; options include Finance, Governance, and Development, with occasional special committees formed for events or special projects. Committee meetings are 1 hour each, held virtually (Zoom), usually 1 per month.
• Participation in at least 1 Project Adventure workshop, retreat, or training each year (most held in person at our Beverly, MA location; some options for virtual learning).
• A meaningful financial contribution to the organization’s general fund each year, which can be a personal gift or generated from fundraising efforts, or both (“Give/Get”). The average Give/Get across all board members is $10,000 annually, but the goal is unique to each board member’s individual capacity.

Specific Board Member responsibilities include, but are not limited to: Leadership, governance and oversight Serving as a trusted advisor to the ED as she develops and implements the strategic plan; Reviewing outcomes and metrics created for evaluating its impact, and regularly measuring its performance and effectiveness using those metrics; Reviewing agenda and supporting materials prior to board and committee meetings; Approving annual budget, audit reports, and material business decisions; being informed of, and meeting all, legal and fiduciary responsibilities; Contributing to an annual performance evaluation of the ED* Assisting the ED and board chair in identifying and recruiting other Board Members; Partnering with the ED and other board members to ensure that board resolutions are carried out; Serving on committees or task forces and taking on special assignments; Representing Aaron's Presents to stakeholders; acting as an ambassador for the organization; Ensuring Aaron's Presents commitment to a diverse board and staff that reflects the communities that it serves. Fundraising Board Members will consider Aaron's Presents a philanthropic priority.
